REGULATIONS OF THE XIII GRAMADO IN CONCERT
INTERNATIONAL MUSIC FESTIVAL
The Organizing Committee of the XIII Gramado In Concert hereby publishes these Regulations:
1. APPLICATIONS
The XIII Gramado In Concert – International Music Festival of Gramado will take place from January 22 to January 30, 2027, in the city of Gramado, Rio Grande do Sul, Brazil.
Applications for participation as a student will be accepted exclusively in advance through the festival's official website, www.gramadoinconcert.com.br, from July 29 to August 21, 2026, until 11:59 p.m. (Brazilian time). This deadline may be extended if deemed necessary by the Festival Management.
A total of 350 (three hundred and fifty) student places will be offered, divided into the following three categories:
a) Student Without Accommodation – 170 (one hundred and seventy) places without accommodation, with an application fee of R$120.00 (one hundred and twenty Brazilian reais);
b) Student With Accommodation – 120 (one hundred and twenty) places including accommodation in shared hotel rooms for up to 10 (ten) nights, with breakfast included, upon payment of an application fee of R$990.00 (nine hundred and ninety Brazilian reais);
c) Full Scholarship Student – 60 (sixty) places with accommodation and meals fully subsidized by the Festival, distributed as follows:
40 (forty) places reserved for one or two orchestra(s) invited by the Festival's Artistic Director;
15 (fifteen) places reserved for members of three chamber ensembles selected through a separate call for applications;
5 (five) places reserved for one ensemble that will perform the Traveling Concerts.
Due to the specific characteristics of the Choir and Beginning String Instruments (violin, viola, cello, and double bass) workshops, applications for these courses will not be accepted under the Student With Accommodation category. Applicants for these courses may apply only under the Student Without Accommodation category.
Unlike previous editions, applicants for the Orchestral Conducting class may register under the Student With Accommodation category, as a result of changes in the organization of that course.
Applicants under the age of 18 will not be accepted in the Student With Accommodation category.
Please note that the Student With Accommodation category is typically more competitive. Therefore, applicants who are able to arrange their own lodging are encouraged to apply under the Student Without Accommodation category.
After the application period has ended and all candidates have been evaluated, a list of selected applicants will be published.
Successful applicants will have five (5) days to pay the application fee through a payment system that will be announced together with the list of selected candidates. Payment may be made in up to six (6) installments by credit card.
Participation will only be confirmed after payment has been successfully received.
Should vacancies remain available, additional lists of selected applicants may be published from the waiting list.
Music students residing in Gramado who are selected under the Student Without Accommodation category and are unable to afford the R$120.00 (one hundred and twenty Brazilian reais) application fee may request a fee waiver by sending an email to gramadoinconcert2027@gmail.com at least two (2) days before the payment deadline.
The request must include:
a written justification; and
proof of residence in the city of Gramado (such as a water, electricity, or telephone bill in the applicant's or their parents' name).
Such requests will be reviewed by the Festival Coordination, which may grant fee waivers to eligible applicants.
After payment of the application fee, participants may cancel their registration by submitting a request via email to gramadoinconcert2027@gmail.com.
For cancellations requested within seven (7) days after payment, the Festival will refund 100% of the amount paid.
After this period, no refunds will be issued.
Unreported withdrawals create significant organizational difficulties for the Festival. Therefore, even after the refund period has expired, participants—whether registered with or without accommodation—are kindly requested to notify the Festival of their withdrawal by email, so that workshops and ensemble activities are not adversely affected by unexpected absences.
Participants who fail to notify the Festival of their withdrawal in advance will not be eligible to participate in the next edition of the Festival.
2. REGISTRATION (CHECK-IN)
In this edition, the Festival's artistic and educational activities will begin on Friday, January 22, 2027. Therefore, participant registration (check-in) will take place on Thursday, January 21, 2027, from 1:30 p.m. to 5:30 p.m., at Expogramado.
Participants who are unable to arrive during the scheduled registration period must send an email explaining the reason for their late arrival and obtain prior approval from the Festival Coordination. Arrival on a later date without prior authorization from the Festival Coordination may result in the participant being denied admission to the Festival.
At the time of registration, all participants must present:
a valid photo identification document; and
proof of payment of the application fee.
Participants who fail to present these documents will not be allowed to participate in the Festival, and their registration will be cancelled.
Applicants under the age of 18 will not be accepted in the Student With Accommodation category.
At the registration desk in Gramado, each participant will receive an Access Card. This identification must be presented whenever requested for access to accommodation facilities, partner restaurants, classrooms, rehearsal spaces, and any other Festival venues where identification is required.
Failure to present the Access Card upon request will result in denial of access to the respective venue.
3. MATERIALS AND DRESS CODE
For performances, recitals, and concerts, the dress code is as follows:
Men: black trousers, black dress shoes, and a long-sleeved black dress shirt.
Women: a black dress or, alternatively, black trousers, black dress shoes, and a black dress shirt.
Each participant is responsible for bringing all materials necessary for study and rehearsals, including a music stand.
The Festival will not provide music stands for workshops or ensemble rehearsals.
4. ATTENDANCE AND PARTICIPATION IN FESTIVAL ACTIVITIES
Participants must complete their registration (check-in) on January 21, 2027 (Thursday) in order to take part in the Festival and are expected to remain until the morning of January 31, 2027 (Sunday), except in cases previously communicated by email and approved by the Festival Coordination.
Participants selected and confirmed under the Student With Accommodation category will be entitled to hotel accommodation from the afternoon of January 21 until the morning of January 31, 2027, in shared rooms, preferably triple occupancy, including breakfast.
All other expenses—including lunch, dinner, local transportation, and any personal expenses—shall be the sole responsibility of each participant.
The Festival does not provide lunch or dinner for participants in either the Student With Accommodation or Student Without Accommodation categories. However, the Festival seeks to establish partnerships with local restaurants and snack bars in order to offer discounts to participants.
Participants who are absent from Festival activities without prior authorization from the Festival Coordination, or who refuse to participate in any activity assigned by the Artistic Director, will have their registration cancelled and will not be entitled to receive a Certificate of Participation or a refund of the application fee. Depending on the circumstances, the participant may also be asked to withdraw from the Festival.
Each participant is responsible for bringing their own musical instrument and for covering all expenses related to its maintenance, transportation, and upkeep. Under no circumstances may such expenses be charged to the Festival organizers or sponsoring institutions.
The only exception applies to percussionists, for whom the Festival will provide a symphonic percussion equipment set.
Participants are required to attend all artistic and educational activities designated by the Festival.
Participants who have scheduling conflicts or are unable to attend any class, rehearsal, concert, or other Festival activity must notify the Festival Organization as soon as possible, explaining the nature of the conflict and, whenever possible, proposing an alternative solution.
The Festival Organizing Committee will review each request and determine whether the situation justifies any accommodation or exception, or whether the participant's absence will result in cancellation of their registration.
Participants who fail to perform in the final concert of the ensemble or group activity to which they have been assigned will not be eligible to receive a Certificate of Participation, even if they have fulfilled the minimum attendance requirements for all other Festival activities.
5. EDUCATIONAL AND ARTISTIC ACTIVITIES
Instrument workshops will take place from Friday, January 22, through Friday, January 29, 2027, with the exception of Sunday, January 24, and will be offered in the following areas:
Violin, Viola, Cello, Double Bass, Beginning Violin/Viola, Oboe/English Horn, Flute/Piccolo, Clarinet/Bass Clarinet, Bassoon, Saxophone (alto, tenor, and baritone), Trumpet, French Horn, Trombone (tenor and bass), Euphonium/Tuba, Percussion, Guitar, Choral Conducting, and Orchestral Conducting.
Participants will be assigned to one of six Ensemble Programs, according to their musical level as assessed through the résumé and audition video submitted with the application.
The Festival intends to publish the preliminary ensemble assignments at least one month prior to the beginning of the Festival. However, for this edition, an in-person placement audition will be held on the morning of Friday, January 22, to confirm each participant's ensemble assignment and seating position.
The audition will consist of:
the performance of a piece of the participant's own choosing; and
excerpts from the repertoire of the ensemble to which the participant has been preliminarily assigned, as well as excerpts from the repertoire of the ensemble for which the participant wishes to be considered, when applicable.
Participants are required to attend all orchestra and chamber music rehearsals and concerts, as well as all instrument classes and masterclasses scheduled by the Festival. These activities may take place at different venues designated by the Festival Organization.
Participants are expected to prepare their assigned repertoire in advance and arrive fully prepared for all rehearsals, concerts, classes, and other activities in which their attendance is required.
Participants are also expected to maintain a respectful, collaborative, and supportive relationship with fellow participants and faculty members throughout the Festival.
The Festival program is under the sole responsibility of the Artistic Directors, and changes may be made without prior notice.
Faculty members may be added to or removed from the Festival program without prior notice. Likewise, the Festival Organization may authorize faculty members to be temporarily absent from their teaching activities whenever deemed necessary.
By submitting an application, participants acknowledge that they have read the information available on the Festival website regarding the Instrument Workshops and Ensemble Programs, and agree to the format and required instructional hours of the activities for which they are selected.
Participants should note that the instructional workload varies according to the specific workshop and the ensemble program to which they are assigned.
The Festival shall not be held responsible for any consequences resulting from changes to the program.
6. MINOR PARTICIPANTS
For this edition of the Festival, participants under the age of 18 will be accepted only under the Student Without Accommodation and Full Scholarship Student categories, provided they are 12 years of age or older.
Exceptions may be authorized upon request to the Festival's Artistic Director by email at gramadoinconcert2027@gmail.com.
Applicants under the age of 18 will not be accepted under the Student With Accommodation category.
7. CERTIFICATES
Certificates of Participation will be awarded only to participants who:
perform in the final concert or recital of the ensemble or group activity to which they have been assigned; and
maintain a minimum attendance of 75% (seventy-five percent) in instrument workshops and rehearsals.
Attendance must be verified by the participant through a daily signature on the official attendance sheets. It is therefore the participant's responsibility to sign the attendance sheet available at each activity.
Certificates will be issued and sent by email only.
Certificates will not be sent by postal mail, delivered in person, or provided in printed form.
Participants who do not receive their certificate must request it within six (6) months following the conclusion of the Festival.
After this six-month period has expired, the Festival is under no obligation to issue replacement certificates.
8. USE OF COMMON FACILITIES
Participants may not invite individuals who are not officially affiliated with the Festival to attend classes, chamber music sessions, concerts, or accommodation facilities without the express authorization of the Festival Organization.
Festival facilities shall be accessible only to participants, faculty members, and Festival staff.
Rooms designated for classes and rehearsals must be used exclusively for their intended educational purposes.
Participants are not permitted to enter administrative areas of the Festival venues, nor may classrooms, rehearsal rooms, or other Festival facilities be used for sleeping or recreational activities.
Participants who fail to comply with these rules, or who disregard other standards of appropriate conduct, mutual respect, and cooperation expected of all Festival participants, may be dismissed from the Festival at the discretion of the Organizing Committee.
Any violation of applicable laws will be reported to the appropriate authorities for any measures they deem necessary.
9. USE OF IMAGE, VOICE, AUDIO, AND VIDEO
Participation in the XIII Gramado In Concert – International Music Festival constitutes the participant's free and express authorization for the recording, use, and dissemination of their image, voice, and artistic performances in photographs, audio recordings, and video recordings produced by the Festival Organization or by third parties authorized by it.
The participant authorizes such material to be used, reproduced, edited, adapted, published, distributed, and displayed, in whole or in part, in any existing or future physical or digital medium, exclusively for institutional, educational, cultural, historical, journalistic, and promotional purposes related to the Festival and its activities, without territorial limitation and for an indefinite period.
This authorization includes, but is not limited to, use in printed publications, books, catalogs, programs, reports, promotional materials, institutional campaigns, websites, digital platforms, social media, streaming services, video channels, live broadcasts (livestreams), television, radio, podcasts, and other communication media. The material may also be stored in physical or digital archives and databases.
The participant further authorizes the use of their name, image, voice, and biographical information related to their participation in the Festival for identification, promotional, and historical documentation purposes.
The authorizations granted under this section are provided free of charge and are irrevocable and irreversible, and shall not entitle the participant to any remuneration, compensation, or financial reimbursement for the use of such material, without prejudice to the participant's moral rights as protected under Brazilian law.
Any personal data collected during the application and participation process will be processed in accordance with Brazilian Federal Law No. 13,709/2018 (General Data Protection Law – LGPD) and will be used exclusively for the management, administration, communication, execution, and institutional promotion of the Festival, in compliance with the principles of purpose limitation, necessity, security, and all other applicable legal requirements.
The Festival Organization may authorize sponsors, supporters, institutional partners, and media organizations to use such material exclusively for the promotion of the Festival and its activities. The use of such material for commercial purposes unrelated to the Festival is strictly prohibited.
10. FINAL PROVISIONS
Any matters not expressly addressed in these Regulations shall be decided by the Festival's Artistic Director.
